About the Role:
Reporting in to the Senior manager, Benefits (Everest International) the Benefits Coordinator will focus on the day-to-day administration management of all employee benefits internationally (end to end process). International comprises of UK and Ireland, Continental Europe, Asia Pacific and Latin America.
Role & Responsibilities (include but not limited to):
Benefits:
- Day to day responsibility for international benefits administration, including benefits information for new hires, leavers, transfers and other changes.
- Some benefits will be administered locally in the international locations, have an oversight of the benefits and processes in place.
Specific areas of focus internationally are:
- Risk Benefits (Life & Disability).
- Retirement arrangements.
- Tax efficient schemes (e.g., UK Childcare vouchers and Cycle to Work).
Medical Insurance:
- Wellness programmes such as digital GP and Wellbeing services.
- Global Employee Assistance Programme and other global employee benefit initiatives.
- Country specific allowances and local choice schemes.
- Day to day handling of queries working with local Brokerage services and local branch assistance.
- Assist with international benefit renewals as required and tracking of documentation until completion. Working with Senior Benefits Manager and Benefits Manager.
- Assist with active promotion of benefits internally.
- Provide timely and accurate reports to Payroll and vendors for enrolling new employees to benefit plans as well as changes to benefits throughout the scheme year and scheme renewals.
- Process vendor invoices obtaining appropriate approvals and challenging vendors if invoices are incorrect or not in line with agreements.
Communications:
- Assist with the maintenance of benefit communications internationally working closely with the international Benefits team and communication team including updating Share-point country pages.
- Update induction information and attend employee inductions as an when required.
- Prepare and keep updated employee benefit summaries, Workday Help Articles for each location.
Data Management:
- Ensure all employees individual benefits data is entered on Workday.
- Complete all Workday Benefit Partner tasks for international benefits.
- Ensure all data is kept confidential and recorded accurately. Ensuring when sending confidential data, the correct Everest security protocols are in place.
- Ensure all salary sacrifice, taxable benefits are effectively applied and coordinated.
Other:
- Undertake projects and tasks as required – such as assisting with streamlining processes, utilising Workday, and introducing new initiatives.
- Design and implement meaningful MI reporting for Benefits, Payroll.
- Collate and provide accurate data to the 3rd party vendors as required.
- Aid Senior Payroll Manager, Sr Payroll Manager and wider HR team as required.
Payroll
- Provide assistance with payroll administration activities including liaison with markets, finance, and tax departments.
- Data entry and payroll data management.
Qualifications:
- Benefits and/or payroll experience.
- HR admin experience would be an advantage but not necessary.
- English fluent, another language would be an advantage.
- Experience of HR systems (Workday) required.

- Able to handle confidential and highly sensitive information with the care and maturity.
- Excellent communications skills, able to handle efficient one to one communication in a tactful and engaging manner.
- Strong sense of collaboration, able to establish trustful working relationships with the wider international HR team.
- Sense of urgency, efficiency, and reactivity.
- Can do attitude, constructive and positive thinker.
- Project management experience.
