Kennedys, a global law firm with offices throughout the US, is seeking a detail-oriented and proactive Legal Assistant join our New Jersey office. Our ideal candidate will have 3-5 years of experience in insurance defense/coverage litigation in all aspects of litigation including discovery, correspondence, court filings, calendaring, trial preparation and non-legal administrative support.
This is a hybrid position, requiring a minimum of 3 days on-site in our New Jersey office.
Key Responsibilities
- Provide comprehensive legal support to 4 or more litigation attorneys, including organizing and maintaining electronic files, managing calendars, preparing expense reports, drafting, and proofreading documents, processing invoices, arranging travel, and coordinating meetings and appearances
- Draft and proofread legal correspondence, pleadings, and other legal documents with high accuracy and attention to detail
- Manage attorneys' calendars by efficiently scheduling appointments, court dates, and meetings; coordinate with clients and witnesses for in-person appearances; and arrange all related services, including conference room bookings, security access, court reporters, and interpreter
- Thorough working knowledge of and experience filing within the Federal and New Jersey court systems; Experience in New York court systems a plus
- Execute New Jersey eCourt filing procedures, ensuring compliance with legal protocols and deadlines
- Ability to create Table of Authorities and Table of Contents
- Manage e-court notice download and indexing, calendar of court notice deadlines and appearances
- Provide general administrative assistance, such as time entry, travel arrangements, expense reports
Required Experience
- 3-5 years of experience in litigation and insurance coverage
- Proficiency with Microsoft Office Suite (advanced Word, Excel and Outlook)
- Excellent organizational skills and exceptional proofreading skills and a meticulous eye for detail
- Proactively identify and solve problems before they escalate
- Perform ad-hoc tasks and projects as assigned by senior management
- Utilize strong technical skills to streamline administrative processes and enhance efficiency
- Work with a sense of urgency and prioritize tasks to meet deadlines effectively
- Ability to manage multiple tasks simultaneously and prioritize effectively
- Ability to turn work around in an efficient manner with minimal errors is required
- Strong written and verbal communication skills
- Effective communication skills and ability to proactively manage assignments
- Reliable with a strong work ethic and professional demeanor
The annualized salary range for this role is $70,000-$85,000. However, this is contingent upon level of experience, location, and other job-related factors permitted by law.
