The Role
The Administrative Assistant supports the Executive Assistant in coordinating day-to-day administrative tasks for the CEO. This entry-level role focuses on organization, scheduling support, and basic operational tasks. It is well-suited for someone early in their career who is detail-oriented, reliable, and eager to learn in a professional office environment.
Key Role Accountabilities
Executive & Administrative Support
- Assist with calendar management and scheduling tasks under direction of the Executive Assistant.
- Provide administrative support to CEO when the Executive Assistant is out of office.
- Help track and organize direct reports’ annual leave requests.
- Support communication coordination with internal teams and new stakeholders.
Travel & Logistics Support
- Assist in booking travel arrangements such as flights, hotels, and transportation.
- Help maintain accurate travel logs for tax compliance purposes.
- Track travel documentation such as ESTA and Global Entry status.
Financial Support
- Assist in preparing and submitting corporate expense reports in SAP Concur.
Office & Operational Support
- Assist in maintaining inventory of company merchandise.
- Ensure CEO office printers (office and home) are stocked with paper and ink.
- Help manage parking schedules when needed.
Personal Scheduling Support
- Assist in scheduling personal appointments.
Qualifications, Experience and Competencies
Qualifications:
- This is an entry level role.
- High school diploma required.
- Associate’s or Bachelor’s degree in Business Administration preferred.
Experience:
- 1–3 years of administrative, office support, or coordination experience (internships and relevant part-time roles considered).
Competencies and Attributes:
- Positive and professional attitude.
- Willingness to learn, develop and take direction.
- Strong attention to detail and organizational skills.
- Good communication skills, both written and verbal.
- Basic proficiency in Microsoft Office or similar tools.
- Reliable and punctual.
- Team-oriented and supportive.
