Overview
The Real Estate Project Manager for the EMEA and APAC regions plays a crucial role in overseeing and executing property projects, ensuring they are delivered on time, within budget, and to the highest standards.
This position demands a strategic thinker with a proven track record in managing complex real estate projects, including fit-outs and relocations, while adhering to Gallagher's governance and procurement policies. The role requires close collaboration with various teams to ensure seamless project delivery, effective contract negotiation, and vendor management.

How you'll make an impact
- Manage all aspects of project delivery, budgeting, cost estimates, and handover for the EMEA and APAC regions.
- Collaboration with Real Estate Transaction Teams: Work closely with Real Estate transaction teams to support the strategic delivery of projects for the occupying Gallagher business.
- Design Transformation Management: Liaise with and manage design transformation resources, sharing knowledge, experience, and best practices as needed.
- Reporting and Presentations: Design and populate reports and presentations, circulate drafts to involved parties for feedback, and ensure timely delivery.
- Contract Negotiation and Vendor Selection: Conduct contract negotiations, tender processes, and vendor selection in line with Procurement policy.
- Project Monitoring: Monitor projects to ensure all valuations and contractual obligations are met before recommending approval of valuation or retention payments to management.
- Progress Tracking: Regularly track the progress of each project, re-prioritizing as necessary. Manage the inception and initiation of multiple projects, outline the project approach, and resource requirements. Keep the Project Owner informed of progress and gather sufficient information to make well-informed decisions or recommendations.
- Facilities Coordination: Work with Facilities teams (or local teams depending on the territory) to facilitate the smooth handover of offices with the required regulatory, operational, and maintenance documentation.
- Compliance: Ensure compliance with Gallagher governance, policies, and processes for all project elements, including vendor selection, tendering, approval, and reporting.
- Professionalism and Integrity: Act with integrity and sensitivity at all times, maintaining discretion and utmost professionalism due to access to confidential information.
- Support the EMEA and APAC Real Estate team, handling day-to-day issues, workload management, reviews, and external suppliers.
- Demonstrate leadership on the delivery of Projects, promoting positive behaviours, and upholding the Gallagher Way.
- Liaise with the Facilities and Business Continuity teams on health & safety, physical security, business continuity planning, and incident management to ensure continued operations and client services.
- Support the development and internal promotion of Gallagher Real Estate Projects team and wider Real Estate function to improve service delivery, manage escalations, and address complaints
- Support project management budgeting, change programmes and manage reporting responsibilities.
- Handle project-specific budget, cash flow, and progress reporting.
- Achieve cost savings and emissions reductions through the reuse of equipment and procurement practices.
- Actively apply Gallagher values and behaviours when providing advice and guidance on all cases.
About You
- A proven track record in the building and fit out in corporate real estate setting
- Proven experience of managing a complex project programme
- Ability to negotiate and influence whilst building and maintaining effective relationships with colleagues at all levels.
- Demonstrable full life-cycle project manager experience, along with capability of leading complex, large-scale projects.
- Ability to work in a fast-moving complex environment
- Comfortable working autonomously and across multiple tasks
- Work to tight deadlines and able to turn work around within a short time
- The ability to deliver service excellence and deal with difficult situations
- Financial services sector experience (especially insurance broking sector) is desirable but not essential
- Travel (primarily within EMEA) and infrequently to APAC
- Project Management PMP, MSP or Prince 2 certification desirable.
- Business degree or similar would be an advantage.
