Description
To work closely with two members of the Asta Executive Team and the Executive Assistant to the CEO, providing high-quality, professional, and proactive administrative support.
The role is responsible for complex diary and inbox management, ensuring seamless administrative coverage for two members of the Asta Executive Team, and delivering a wide-ranging, responsive administrative service to support business priorities as required.
Key Responsibilities
- Provide pro-active diary management and meeting co-ordination for 2 members of the Executive Team, including booking of meeting rooms, catering and preparation of meeting documentation where required.
- In-box management, along with the central mailbox on behalf of Exec team to ensure efficient allocation of requests for authorisation and approvals, tracking actions and requests to ensure completion.
- Carry out general administrative tasks including, but not limited to, booking travel and restaurants, arranging corporate and departmental events and communications, occasional taking of actions in meetings, monitoring actions and progress against corporate objectives, room bookings, completing expenses and timesheets, maintaining G&H records and arranging corporate gifts for staff.
- Provide support to and on occasion, cover for the EA to the CEO, with access to their email to manage the CEO’s meeting requests, and to provide cover for other Exec Team Support in their absence.
- Ad hoc business tasks as directed by the Exec Team, the CEO’s EA and occasional requests from members of the Senior Leadership Team and INEDS.
Skills, Knowledge & Expertise
Organisational Skills:
- Ability to prioritise tasks effectively and manage multiple deadlines.
- Strong time management skills to ensure efficient scheduling and coordination of meetings, events and travel arrangements.
- Attention to detail in handling sensitive information, maintaining files, and managing records.
Communication:
- Excellent written and verbal communication skills to interact with the Executive Team, as well as internal and external stakeholders.
- Professional telephone etiquette and the ability to handle enquiries and redirect calls appropriately.
- Effective listening skills to understand instructions and communicate information accurately.
Adaptability:
- Flexibility to adjust priorities and work effectively in a fast-paced, dynamic environment.
- Willingness to learn new tools, technologies, and processes to enhance efficiency.
- Ability to handle unexpected changes or shifting priorities with composure.
- This role is majority office-based, x4 days a week, dependent on Exec Team activity.

Key Skills and Experience:
- Previous experience of providing administrative support to a team at a similar level.
- Highly computer literate including MS Outlook, Teams, Word, Excel and PowerPoint.
- Experience in the Lloyd's and London Insurance market or Finance sector an advantage, but not essential.
