Overview
We are excited to offer an opportunity to join Gallagher’s Business Change Team as a Senior PMO Analyst. We seek an enthusiastic, motivated, and talented individual to provide essential services such as project and portfolio management, business analysis, and project governance.
Reporting to the Senior Business Change Manager and COO, you will collaborate with Business Change members across two London locations, supporting Specialty with both regular and ad-hoc activities. Benefit from Gallagher’s agile working approach.
Your expertise in managing change from investment planning to closure, proficiency in Microsoft tools and Portfolio Project Management systems, and ability to work independently while identifying problems and proposing solutions will be crucial. How you'll make an impact
- Working with the Divisional, Functional Portfolio and Programme Leads
- Provide direction and oversight of investment pipeline and in-flight projects and programmes
- Reporting on status, deliverables, milestones, and RAIDS, highlighting exceptions for escalation
- Oversee the development of the monthly Change Board presentations and on occasions delivery to key stakeholders, while ensuring follow-up on actions arising from those meetings
- Review project investment documents, ensuring alignment with the Gallagher Change Governance Framework. Ensure that the quality of business cases and funding requests are fit for purpose.
- Ensure changes to project funding, scope and schedule are raised for formal review and approval as required.
- Ensure dependencies within or between projects and programmes are identified and managed.
- Manage the portfolio-level benefits register, ensuring that all benefits are planned, monitored and benefits realisation is tracked
- Provide support and guidance to Programme/Project Managers following project standards across systems, tools and templates aligned with the Gallagher Project Methodology and Change Delivery Framework
- Assists programme/project managers in planning, organising, executing and monitoring programmes/projects by providing administrative support throughout the project lifecycle.
- Provide input to and oversight of financial reporting on project costs for programme/portfolio level reporting to support the Finance team with accruals, chargeback, and targets for annual spend.
- Review Statements of Work and other contracts against approved project documentation, identify any discrepancies or cost overruns, and escalate issues as necessary
- Assist with the contract and purchase order approval process by ensuring all required documentation is provided and properly filed for auditing purposes
- Identify continuous improvement opportunities across business change delivery and PMO processes, to enhance efficiency and effectiveness
- Take part in wider improvement opportunities to support business enhancements as required
- Work closely with Business Change Team to align and standardise activities, processes and tools
- Support specific business or functional programmes and build trusted relationships with key stakeholders
- Act as Subject Matter Expert on the Project & Portfolio Management (PPM) software application, Planview and alternative manual solutions used by the Business Change Team.
- Providing guidance, training and knowledge sharing to Business Change Team.
About You
- 5+ years' experience of working in a PMO function, preferably within a large corporation
- Insurance experience is desirable, but not essential
- An understanding of change methodology, including waterfall and agile
- Ideally PRINCE 2 / APM qualification or equivalent.
- Knowledge of project delivery methods and associated controls from initiation to risk management to benefits realisation including financial management
- Excellent knowledge of the PMO function and managing PMO activities for a change portfolio.
- Proven ability to identify and implement continuous improvement of change processes.
- Proficient in tracking and reporting on project status with a focus on exception-based reporting at programme and portfolio level
- Strong stakeholder management skills
- Excellent interpersonal skills, including listening, verbal, and written communication with the ability to communicate effectively with all levels of the Company, including senior level management
- Applies a high level of accuracy to written communications, presentations, and Standard Operating Procedures
- Excellent presentation of plans, reports, and proposals for business stakeholder consumption
- Ability to participate on multi-disciplinary work teams to achieve successful execution of initiatives
- Set priorities, develop a work schedule, monitor progress towards goals and report status
- Ability to manage multiple priorities with stakeholder groups and adapt to changing circumstances
- Proficient in the MS Office suite of tools (Excel and PowerPoint.)
- Eligible to work in the UK
- Travel to different UK offices as required
