Description
To provide high quality administration, coordination and in person support across the HR team, with a particular focus on Culture & Talent, Client Payroll and HR Operations.
The role ensures accurate data management, efficient coordination of activities and the smooth delivery of talent development, HR processes and client payroll services.
Key Responsibilities
Culture & Talent Support
- Reconcile agency recruitment invoices prior to approval.
- Support TA Partner by coordinating interviews with hiring managers and support recruitment administration.
- Assist with role benchmarking and maintaining and updating job descriptions.
- Manage HR announcements, updates, and event comms to The Hive and SharePoint.
- Maintain and update Culture & Talent content pages, upcoming programme/activities and SharePoint resources.
- Maintain training trackers, ensuring all attendance of courses, and that data is accurate.
- Manage and coordinate booking of all Lloyd’s and LMA courses), Microsoft programmes, and all other training courses.
- Manage upcoming training attendance and escalate low attendance risks.
- Administer professional qualification process, including revision platforms, providing information for study leave and policy updates, and salary updates following qualification and exam completions.
- Manage Asta’s SDI platform, maintaining team profiles and allocate credits appropriately, sharing profile requests with new joiners and being the point of contact for queries.
- Support logistics for internal and external room bookings, training setups, and presenter coordination.
- Co-ordinate and facilitate the quarterly new starter induction day held in London office.
Client Payroll
- Support the Payroll & Benefits Manager to maintain accurate and aligned employee data across HR and Payroll Systems, and client templates. · Support preparation and collation of documentation for P11Ds, PSAs, P60s and client audit requests.
- Assist the Payroll & Benefits Manager with payroll and benefit tasks, reporting and documentation.
- Assist in month end reconciliations, including checking data, preparing summaries, and flagging discrepancies.
- Support preparation for client audits where needed.
HR Operations
- Provide note taking support for employee relations meetings, including disciplinary and grievances.
- Run reports from HR and Payroll systems and assist with ad hoc data requests.
- Provide cover for other HR team members during peak workload periods or annual leave/absence.
Skills, Knowledge & Expertise
- Previous experience in HR administration, working at a similar level. Working towards a CIPD qualification would be advantageous but not essential.
- Professional and responsive communication skills, both written and verbal. The ability to provide employees and managers with advice and guidance in a confident and professional manner.
- Strong organisational and task management skills, with ability to manage multiple tasks simultaneously, whilst maintaining very high levels of accuracy and attention to detail.
- Proactive and having the ability to meet tight deadlines and using own initiative.
- Intermediate Excel skills, proficient in HRIS systems and MS Office.
- Flexible team player who can adapt to changing priorities and is prepared to get involved in the work and cover other team members when necessary.
- Excellent stakeholder management, ensuring people are updated, informed and supported across a range of projects and tasks.
