What you’ll do:
We’re excited to offer an excellent opportunity to join Miller’s Special Risks business unit as a Team Secretary. In this role, you’ll work closely with our PA and Secretarial Team, providing vital administrative support across one of our most dynamic coverage areas.
As part of a growing team, this is a fantastic time to come on board. You’ll gain valuable exposure, build strong stakeholder relationships, and become a key point of contact within this diverse and fast-paced part of the business.
Special Risks
The team compromises of: Accident and Health, Cargo, Credit and Political Risks, and Sports and Entertainment.
Role Responsibilities
- Handling/responding all correspondence including phone calls, emails and letters
- Manage diaries and coordinate travel and hotel arrangements
- Maintain accurate records and filing systems
- Reconcile monthly expenses
- Maintaining the efficient function of a team and dealing with their requests for information, jobs and tasks
- Produce documents, briefing papers, reports and presentations for meetings
- General administrative activities, including filing, scanning, archiving and photocopying
- Taking notes at meetings, preparing the minutes and subsequently distributing to all participants
- Liaising with other members of staff and external parties such as clients/visitors
- Liaising with other team secretaries to ensure smooth running of business.
- Act as Business Unit co-ordinator for team meetings/events
- Provide cover for other Team Secretaries and PA’s as and when required
- Adhere to and meet fully the expectations of Miller, as set out in its policies and procedures, training material, and embedded in its systems and controls. Our policies and procedures are written to encapsulate the compliance, legal and financial crime related legislation and regulations which apply to Miller.
- Comply with any external rules and requirements imposed on individuals performing their role at Miller, such as Lloyd’s byelaws and FCA rules.
- Promote Miller brand and values to enhance Miller’s reputation in the market
Qualifications
- GCSE English and Maths at grade C or above (or equivalent)
- Degree preferred but not essential
Knowledge
- Able to pay close attention to detail
- Good knowledge of common IT systems, including Microsoft Outlook, Word and Excel - and able to grasp new systems quickly
- Organised and clear thinking
- Hard working and committed
- Skilled at influencing and negotiating
Experience
- Previous office work experience in any industry preferred
- Experience in demonstrating excellent attention to detail
- Experience in a client or customer facing role, and of delivering excellent service with strong written and verbal communication
