The main responsibility of the Workplace team is ensuring the smooth running of the daily operations and experience to provide best-in-class environments to drive the business forward. The successful candidate will be proactive and creative and will be encouraged to express new ideas on improving the overall workplace, ensuring that we are using our resources to the optimum.
Our Workplace coordinator will carry out various operational tasks in support of the wider Workplace team, following established policies, procedures, and guidelines. Your responsibilities will include day to day support of the workplace operation, delivering best colleagues experience in all our properties, ensuring our sites are fully secured and compliant.
What you’ll be doing
- Working with key internal and externals stakeholders as well as other entities on the day-to-day performance of the service providers, confirming service aligns with customer and the Operation Director Uk & Lloyds expectations.
- Working with the Workplace team to support on Induction process for colleagues.
- Continuously reviewing ways to improve the service and overall workplace experience.
- To monitor all activities relating to the site(s), reporting and taking actions as appropriate.
- Supporting Workplace Operations partner and Workplace Technical partner to comply with Health and Safety on site, maintaining records, and involvement with contractor management as appropriate.
- Deliver a safe, secure, and inclusive work environment by providing excellent standards of workplace accommodation and high-level services for all staff, guests, and other occupiers of the premises.
- Record and track all chargeable duty delivered to other AXA entities.
- Support general reporting as per demands.
- Working closely with the Workplace Experience Manager, IT team, Reception, Cleaning and Catering team to ensure our colleagues are receiving the best experience.
- Conducting the DSE (Display Screen Equipment) assessment for all colleagues in the workplace.
- Helping the wider team to get the DSE platform up to date with colleagues’ details
- Must be able to travel to others AXA XL office in the UK on regular basis.
- Deliver a safe, secure, and inclusive work environment by providing excellent standards of workplace accommodation and high-level services for all staff, guests, and other occupiers of the premises.
- Working as “ONE Team” with the other members of the Workplace Team and suppliers
- Perform regular inspections within the offices with a focus on delivering best customer experiences and providing comfortable ambiences for the occupants, taking particular care and attention to detail to reach the highest standards.
- Working closely with your supplier chains to ensure efficient delivery of the services needed for the business
- Perform any related duties as assigned upon business request.
- Any additional tasks requested.

- Able to travel to other offices as and when requirement - (London, Lloyds, Ipswich, Birmingham, Manchester and Chelmsford)
- Customer first mindset
- Fire Marshal and first aider or willing to get trained
- DSE assessor qualified or willing to be trained
- Interpersonal, relationship-building and networking skills
- Ability to multi-task and prioritize your workload
- Time management skills
- Clear and concise writing skills and the ability to handle long and complex documents
- Proficient in the use of Microsoft office packages including Word, Excel and Outlook
- Team work skills and the ability to guide and motivate others
- Proficient use of MS Office (Excel, Word, PowerPoint, Visio)
- Practical, flexible and innovative approach to work
